The workforce has shifted towards hybrid work, where employees have the option to work anywhere. As of such there has been a high demand for services that facilitate flexible locations, working times, and working types. The ability to work from anywhere has developed rapidly with digital devices, the physical spaces, however, have not kept up with these high growth rates. Hybrid workers have been forced to work in restaurants, cafes, noisy home environments, or uncomfortable airport seats, that are both distracting and non-confidential.

TaskPod contacted us to develop a way for people to quickly find and book silent meeting rooms for flexible work.

With TaskPod, users can seamlessly book and access a private, quiet space to work. Whether it be for a phone call, emailing, or jumping on Zoom - TaskPods provide space and privacy for the new generation of workers.

Many small, separate, acoustic pods are supported by fast-loading web and mobile apps to optimize capability. They allow users to unlock the Pod from their phones and immediately begin working.

Our team has developed a web application and a cross-platform mobile app for Android and iOS devices. We have also launched a platform for admins allowing control and management of pods, bookings, payments, users, and more.

Overview

Booking by QR codes

Users can start using pods by scanning QR codes on the pod’s surface with a smartphone camera. They will be redirected to the application and begin the booking process. The expected duration of usage will be selected. The users can then choose to remotely unlock the pods or be provided with a PIN code to enter. We enhanced the booking process to eliminate overlapping bookings.

Booking in applications

Users can book pods directly in the application. We have designed the app to include:

A map displaying pod locations.
Filters to find a specific pods.
The ability to book and rebook pods.
The ability to cancel or extend the booking, more.

Features for admin

Users granted admin access are provided with the following functionality:

Create new pod listings.
Pause and unpause pods due to occurring issues.
Add features to pods (wi-fi, TV, etc.).
Create and manage pricing.
Create and manage locations.
View the users' list.
View the rentals and booking statistics.

Integration with third-party services

KAS - smart keys solution. KAS empowers the TaskPod application with a keyless entry system. KAS utilizes passcodes that users receive on their devices after the payment has been processed.
Stripe - payment provider. Users can add credit cards to their profiles in-app and pay for bookings instantly.
Sengrid - a communication platform for transactional and marketing email. Users receive notifications and emails about booking confirmation, cancellation, extension, rearrangement, and finishing schedules.
